Chief of Staff

This is a three-part role:

40% — Partner Launches & Special Projects: You'll own the operational side of how Norma goes to market through partners. That means managing the full lifecycle of partner launches from kickoff through go-live, running ongoing partner engagement and feedback loops, building and improving the processes that make launches repeatable, and driving special projects that don't have an obvious owner — the kind of high-impact work that falls between teams and needs someone who can just figure it out.

40% — CEO Operations: You'll work directly with the CEO daily. You'll take ownership of priorities and workstreams so the CEO can focus on product, fundraising, and vision. That means managing follow-ups, tracking commitments, preparing for meetings, drafting communications, and generally being the person who makes sure nothing falls through the cracks. When the CEO says "we need to figure this out," you're the one who figures it out.

20% — AI Workflow Building & Internal Automation: We're an AI company and we run like one. You'll identify repetitive processes across the company and build AI-powered workflows to automate or accelerate them — using tools like Claude Code, LLM-based pipelines, and internal tooling. This isn't about writing production software; it's about being the person who sees a manual 2-hour process and turns it into a 5-minute AI workflow. You'll own the company's internal automation playbook and make the whole team faster.

How We Build

We don't just build AI — we run on AI. Every team at Norma uses AI tools daily: engineers ship with AI-native workflows, ops builds automations with LLM pipelines, and we're constantly replacing manual processes with AI-powered systems. In this role, you'll own that internal automation playbook. If you're the kind of person who sees a repetitive task and immediately thinks about how to automate it with AI, you'll thrive here.

What You'll Actually Do

  • Own partner launch execution end-to-end: timelines, stakeholder communication, issue resolution, post-launch feedback
  • Build operational playbooks so every launch is better than the last
  • Manage ongoing partner relationships: check-ins, feedback synthesis, escalation handling
  • Attend meetings with (and sometimes for) the CEO; capture decisions and drive follow-through
  • Research, analyze, and prepare materials for strategic decisions
  • Coordinate across engineering, product, and external stakeholders
  • Run down answers, unblock people, and close open loops — fast
  • Take on ambiguous projects with incomplete information and deliver clear outcomes
  • Identify manual, repetitive workflows and build AI-powered automations to eliminate them
  • Maintain and evolve the company's internal automation playbook

Who You Are

  • 1-4 years of experience in consulting, operations, startup environments, or a high-performance role where you had to figure things out with limited guidance
  • Relentless executor — you don't wait to be told what to do next
  • Extremely organized but comfortable with chaos
  • Strong written and verbal communicator — you can draft an email to a partner CEO and a Slack message to engineering with equal clarity
  • You think in systems: when you do something twice, you're already building the process for the third time
  • Comfortable with long days and high intensity — this is an early-stage startup building technology that matters, and we work accordingly
  • You genuinely care about seniors — not as a market segment, but as people
  • Based in Austin or willing to relocate

Nice to Have

  • Hands-on experience building AI workflows or automations using tools like Claude Code, ChatGPT, Cursor, or similar LLM-based tools — we heavily use AI internally and want someone who can build repeatable workflows for the team
  • Comfortable in a terminal and not afraid of APIs, scripts, or light technical work
  • Experience in healthcare, healthtech, or regulated industries
  • Experience managing external partnerships or channel relationships
  • Background in management consulting (McKinsey, BCG, Bain, or similar)
